Purpose of the job

The Depot Manager is manager grade position and is accountable for managing the day-to-day LRV maintenance team to ensure that the Operations have all the tramways required so as to deliver the best commercial service.

He/she implements a robust organisation and make sure that delays, quality, safety, and budgets are respected.

Responsibilities

· Scope for Decision Making

· The Depot Manager’s accountabilities are the following:

Team Management:

• Managing rosters including annual leave and overtime (roster can be adjusted if required) so to ensure the workload can be met.

• Implementing and organising the communication within the LRV maintenance team, daily briefing, town halls, company communications, meeting, notes, etc.).

• Participating to recruitment interviews to determine the future team members.

• Planning and organising of training for every employee in the maintenance workshop, including inductions and statutory training

• Management of safety within the depot, liaising with the Safety Department to deploy Safe systems of Work.

• Own depot processes, work closely with the Process Manager so as to improve the maintenance processes and procedures and assisting in the review of the liability matrix.

• Managing absenteeism and performance issues in line with HR practices for own team. Provide support across the business where needed.

• Participating to Unions’ discussions when required, report and address local items.

• Development of the MTM’s in the depot, including technical and personal development, oversee annual reviews for all staff.

• Act as the company representative within the depot, participate in relevant management meeting, liaise with operations I the rolling out of company wide initiatives, policy and procedures

Workshop layout and Tools

• Organising the workshop’s layout to ensure a maximum efficiency and flexibility in accordance with the annual maintenance activity (Bogie, OH, etc).

• Ensuring that the Maintenance team keeps a safe and well settle workshop (tools, wastes, parts, safety equipment’s, etc.) supervised by the team Leader.

• Collaborating with Infrastructure teams to plan the work on facilities and facilities equipment.

• Ensuring that the team is fully equipped: common and personal tools, workwear and PPE, while respecting the company’s best practices and process.

• Depot 6 S standards

Tram Maintenance

• Liaising with the Fleet Coordinator to ensure that the workload is aligned with Peak Vehicle Requirement and with daily schedules in a long-term vision (more than 3 months).

• Managing with the Planner the workload on the fleet according to the manpower’s availability and the production lane in the workshop.

• Organising and maintaining the workshop efficiency to provide the best working conditions for the team in terms of downtime and work ergonomics, and ensuring tramways movements’ reduction.

• Developing, deploying and adjusting the ‘’planning rules” for the workshop Planner to ensure best practices are achievable.

• Ensuring that the team applies the correct planning to each tramway and archives documentation following the Transdev process.

• Supporting the Engineering team in the continuous improvement of work instruction, reliability, overhaul, etc.

• Making final decisions on technical issues after considering Engineering and MTM advice.

Parts & supplier

• Ensuring the store rules are followed by the team and the repair loop is properly completed.

• Ensuring that the team properly applies the processes for tracking serial numbers, mileage, drag and drop, etc.

• Managing and coordinating contracts with suppliers and outsourced employees who work in the workshop: cleaning, RTA interventions, expertise, etc.

Maintenance Management

• Safety: Ensuring the safety at work in the depot

• Analysing the KPIs (budget, availability, reliability, SAF’s, etc.).

• Participating to the monthly coordination meetings with other departments to discuss about projects’ progress and deploy action plan.

• Contributing to the development of the Maintenance Policy.

• Enhancing continuous improvement on process, tools, workwear, tram, depot layout, stores, using the 5S methods; Kanban, etc.

Budget

• Proposing an annual budget for the workshop: tools, resources, over time, corrective activity, investments, equipment, trainings, workwear, etc.

• Controlling the budget provided by the Head of Fleet, on-going review and report monthly

Other accountabilities

• Liaising with Operations’ Department to determine common processes.

• IT tools: Supervising the use and feeding the content of the maintenance software: MMS, Transit 9, others.

• If needed, when another Depot Manager or the Head of fleet is missing, ensuring business continuity by taking over some of their accountabilities.

• Participating in disciplinary decisions for internal and external audit when required.

• Finding and sharing best practices in other Transdev Networks.

Details Working hours: daytime work from Monday to Friday (39h/week contract)

On-call and emergency: On-call or emergency out of work are to be considered 1 week per month. An on-call planning will be help with the two others Depot Managers and the Head of Fleet.

Work location: the job will be located in one of the 3 depots. Travels on the 2 others, from time to time, are to be expected.

Competencies

• Strong leadership and influencing skills: ability to engage with people at all levels in order to develop and agree clear actions plans.

• Determination and ability to advance the Maintenance Performance agenda: a clear enthusiasm and commitment to delivering continuous improvement in maintenance performance.

• Ability to create plan from scratch considering parts / people / tools / organization / budget / process. This could be presented to the Managing Director, our client or your own team with different level of understanding.

• Excellent manager with a capacity for projection and anticipation. ability to create his/her own KPI to manage the activity and identify innovative solutions and opportunities for improvement.

• Excellent communication and relationship-building skills: ability to engage with staff, customers and stakeholders at all levels in order to understand their concerns

Experience

• Ideally 10-years’ experience in the railway industry.

• Minimum 5-years’ experience in team Management/Supervisory.

• Strong working knowledge of Irish Health & Safety and Environmental legislation.

• Ideally knowledge and experience of Tram systems (or other rail rolling stock).

• Excellent ICT skills with good knowledge of MMS (Maintenance Management System), MS Office applications.

• Extensive working experience in a manufacturing, maintenance environment on a shift basis.
